Job title: AEO Membership, Data & Administrative Executive

Reports to: AEO Director of Events & Operations

Hours: Part-time, 3 -4 days per week (25-30 hrs per week)

Contract type: Permanent

The company

The AEO is the trade association for organisers of business events; trade shows, consumer shows and conferences. Its parent organisation is the Events Industry Alliance (EIA), which serves organisers, venues and contractors in the exhibition & events industry. EIA’s role, through three trade bodies; the Association of Event Organisers (AEO), the Association of Event Venues (AEV) and the Event Suppliers & Services Association (ESSA), is to promote exhibitions and events as a medium, raise standards, provide research and train the exhibition and events industry, as well as bring the industry together through networking events.

 

Summary of the role

AEO’s membership, data & administrative executive is an integral part of the AEO team. You will focus on supporting the director of events & operations with; new membership applications, processing of sponsorship and partnership agreements, administration of the CRM, analysing member data to support marketing campaigns for AEO events and providing administrative support. Your role includes:

  • Ensuring the AEO database and prospect database are regularly updated with correct contact details
  • Managing and updating the CRM, ensuring all member data is correct, in conjunction with sales, events, marketing and projects teams with the view to maximising member engagement and communications
  • Conducting an annual data update of all membership contact details
  • Evaluating the CRM and all event campaigns, providing marketing with clear target audience data and the relevant information to build future campaigns
  • Coordinating all event registration requirements and post event analysis, using Google Analytics for marketing reports
  • Analysing member engagement, feeding into the renewal process and highlighting potential areas for engagement
  • Working with sales, projects, marketing and event management teams to ensure maximum member engagement, effectively communicating insights across the business.
  • Providing administrative support to the chief executive officer, director of events and operations and wider AEO team as necessary

This role would be suitable for somebody who is interested in progressing their career in a commercial, sales, marketing and/or data analysis roles within the events industry or an industry association/not for profit setting, with 2+ years’ experience of working in an administrative or data.

The candidate must have analytical skills, be proficient in Excel, have an eye for detail, be professional and personable.

 

Key responsibilities                              

  • Administration of the CRM system – working with projects, events, business development and marketing teams
  • Data management – maintaining, cleansing, deduplicating and updating existing data, sourcing new data and accurately inputting to the CRM
  • Documenting and updating processes to ensure efficiency and consistency
  • Handling data inputs and managing unsubscribe requests effectively
  • Generating new member opportunities, using CRM analysis and website research
  • Processing new member applications and partner & sponsor agreements including their deliverables
  • Providing contact lists for campaigns based on plan requirements
  • Providing CRM data analysis to assist with marcomms planning
  • Working closely with the team to retrieve, cleanse and analyse data – providing comprehensive support on data management, Excel, IT, CRM and other related queries or challenges.
  • Sharing valuable insights to the team to foster continue improvement
  • Working as part of the team to deliver successful AEO events and represent the AEO at other industry events such as meetings, conferences, seminars, receptions, exhibitions and working groups

 

The candidate

Candidates will need at least two years’ experience in a similar administrative related role.

  • Educated or experienced in a related field
  • Commercial awareness; interest and understanding of sales, marketing, and lead generation
  • Analytical skills, database segmentation and analytics experience
  • A team player - collaborative, with good communication and interpersonal skills to build long-term relationships with the team and members
  • Organisation, planning skills and ability to manage multiple projects
  • The confidence to 'sell' your ideas
  • Attention to detail - organised and accurate, with an eye for detail
  • IT literacy, familiar with MS Office
  • A good level of understanding of basic mathematics, with the ability to add, subtract, multiply, and divide in all units of measure.
  • Comfortable with spreadsheets and formulae
  • Be well presented with a professional manner
  • Integrity and honesty

The successful candidate will receive training on all AEO systems.

Package:

Basic salary: £25.5k full time equivalent

Holidays: worked out pro rata of hours / days worked (plus pro rata bank holiday)

Hours: 22.5 hours per week, over 3 days per week

Part-time, 3 -4 days per week (25-30 hrs per week)

Other: Cycle to work scheme
